Frequently Asked Questions
Short answers to the questions travellers ask most. Where an answer summarises our booking terms, the Terms & Conditions are the binding version.
Is VAC Travel licensed?
Yes. VAC Travel is the trading name of Vietnam Accession Culture Travel Company Limited, incorporated in Hanoi and licensed as an international tour operator in 2019. Our International Tour Operator License is No. 01-1428/2019/TCDL-GPLHQT and our Business License is No. 0108766985.
Do you run tours for one person?
Yes. Every VAC Travel journey is private and runs for your party alone, including a single traveller.
Is there a maximum group size?
No. Because every journey is private, there is no fixed cap on the number of guests. Larger parties are quoted individually.
Do you operate in Cambodia or Laos?
Not at present. Our published journeys are in Vietnam. We will update this page when that changes.
How much is the deposit, and when is the balance due?
For individual and family bookings, a non-refundable deposit of US$200 or 30% of the tour price, whichever is greater, secures your reservation. The balance is due no later than 30 days before departure, and bookings made within 30 days of departure are paid in full on confirmation. Bookings for large private groups follow different terms; the full conditions are in our Terms & Conditions.
What is your cancellation policy?
Cancellation charges depend on how far before departure we receive your written notice, which must be sent by email to contact@vactravel.com. The full schedule is set out in our Terms & Conditions.
Can I change my travel dates?
Yes, subject to availability. Changes requested in writing 14 or more days before departure are free of charge. Changes requested within 14 days may still be possible, for a fee of US$100 per change plus any third-party costs. Details are in our Terms & Conditions.
Is travel insurance included?
No. VAC Travel does not sell or broker travel insurance, and we strongly advise you to arrange your own policy directly with an insurer before you travel. Cover should include, at minimum, trip cancellation, emergency medical expenses and evacuation, personal liability, and loss or theft of personal belongings. We recommend buying it when you pay your deposit, since cancellation charges apply from that point.
Do I need a visa for Vietnam?
Requirements vary by nationality and change from time to time, so please check with the Vietnamese embassy or consulate in your country of residence. If you apply for an e-visa, use only the official Vietnam Immigration Department portal at thithucdientu.gov.vn. Third-party sites that charge a fee are not affiliated with the Vietnamese government or with VAC Travel.
What is included in the price?
Accommodation, private transfers, guiding, tours and cruises, car hire, entrance fees, government taxes, and any other inclusions stated on the tour page. Flights (unless specified), meals not listed as included, visa fees, travel insurance, optional activities and personal expenses are not included. All prices are quoted in US Dollars.
How can I pay?
By international bank transfer, by credit card, or by another method agreed when you book. Bank charges and transfer fees are paid by the traveller.
Can you arrange only transport and accommodation for an itinerary I have planned myself?
Yes. Send us your day-by-day plan and we can arrange private transport with a driver and your hotels, with a guide only where you want one. We quote each request individually.
Can you plan a longer trip across several regions of Vietnam?
Yes. There is no fixed maximum length. A single private journey can combine the north, centre and south of Vietnam, and we plan the route, internal flights and pacing around your dates.
